This Privacy Policy explains how UBIO LIMITED uses personal data when you visit hotels-connect.com, join the Hotels Connect waitlist, create an account, subscribe to Hotels Connect or contact us.
1. Who we are
Hotels Connect is operated by UBIO LIMITED (company number 08725879), registered at 167-169 Great Portland Street, 5th Floor, London, England, W1W 5PF. UBIO LIMITED is the controller of the personal data described in this policy unless we expressly state otherwise.

2. What information we collect
Depending on how you use Hotels Connect, we may collect:
- your name, work email, telephone number, job title, employer and business contact details;
- account and sign-in information, including account identifiers, roles and authentication activity;
- information about your hotel or business, including property name, location, website, booking-engine details and evidence that you are authorised to act for the property;
- subscription, billing, invoice and payment-status information. We do not store full payment-card details where these are processed by our payment provider;
- technical and usage information such as IP address, browser, device, pages viewed, account activity, logs and cookie information;
- waitlist registrations, enquiries, support requests, feedback and other communications with us; and
- marketing preferences and records of whether you have opted in or out.
We do not intend Hotels Connect to receive guest names, booking records, guest payment information, health information or other special-category personal data. Please do not provide this information unless we have expressly agreed the processing and appropriate safeguards with you in writing.
3. How we use your information
We use personal data to:
- manage the waitlist and respond to enquiries;
- create and administer accounts and subscriptions;
- set up, provide, secure and support Hotels Connect;
- process billing, maintain financial records and manage subscriptions;
- send service, security, billing and other operational communications;
- understand how Hotels Connect is used and improve the service;
- prevent fraud, abuse and security incidents and comply with legal obligations; and
- send business marketing where permitted by law and in accordance with your preferences.
Our lawful bases include performing or taking steps towards a contract, complying with legal obligations, our legitimate interests in operating and improving Hotels Connect and managing our business relationships, and consent where the law requires it — including for non-essential cookies and certain marketing.
4. Where we get information
We may receive personal data:
- directly from you;
- from your employer, hotel group, property owner, manager or another authorised user;
- automatically when you use our website or service;
- from service providers such as payment, authentication, analytics, security and support providers;
- from Google or another connectivity partner where relevant to property setup or support; and
- from public business sources, hotel websites and company registers where needed to verify a business or authority.
5. Who we share it with
We only share personal data where reasonably necessary. This may include UBIO group personnel and companies; hosting, infrastructure, security, email, authentication, analytics, customer-support and payment providers; Google and other connectivity or technical providers where needed to operate Hotels Connect; professional advisers, auditors, insurers, banks, investors or potential purchasers; and regulators, courts or authorities where required by law.
We do not sell personal data to advertisers or data brokers.
6. International transfers
Some of our service providers may process personal data outside the United Kingdom or European Economic Area. Where required, we use recognised safeguards such as adequacy regulations or decisions, standard contractual clauses, the UK International Data Transfer Agreement or UK Addendum.
7. How long we keep it
We keep personal data only for as long as reasonably necessary for the purpose for which it was collected and for legal, accounting, security and dispute requirements. Customer, contract and billing records may generally be retained for up to seven years after the relevant relationship or financial year. Account and support records are generally kept for the relationship and for up to three years afterwards. Security and technical logs are generally kept for up to 12 months unless they are needed for an incident or legal claim. Cookie and analytics retention is described in our Cookie Policy.
We may retain genuinely anonymised information indefinitely.
8. Marketing
We may send operational messages about your account, subscription, security, billing, terms or the service without marketing consent where appropriate. Optional marketing will be sent in accordance with applicable law and your choices. You can unsubscribe using the link in a marketing message or by contacting [email protected].
9. Your rights
Depending on applicable law and the circumstances, you may have rights to access, correct or erase your personal data, restrict or object to processing, receive portable data and withdraw consent. To exercise a right, contact [email protected]. We may need to verify your identity or authority and some legal exemptions may apply.
If you are in the UK, you may also complain to the Information Commissioner's Office. We would appreciate the opportunity to address your concern first.
10. Security and third-party sites
We use proportionate technical and organisational measures designed to protect personal data. No system is completely secure, so users must also protect their account credentials and tell us promptly about suspected compromise.
Hotels Connect may link to third-party websites or services. Their privacy practices are governed by their own notices. Hotels remain responsible for privacy information relating to guests who visit their booking sites or make reservations; this Privacy Policy does not replace a hotel's own guest privacy notice.
11. Cookies
We use cookies and similar browser technologies as described in our Cookie Policy. Non-essential analytics is not loaded until you consent, and you can change your choice at any time.

We may update this policy when Hotels Connect, our providers or applicable law changes. We will publish the updated version here and provide additional notice where required.
